How to Compare PCB Assembly Quotes From Different Suppliers?


When you ask several PCB assembly suppliers for quotations, it is normal to receive very different prices for the same PCB.

Before comparing the numbers, make sure every supplier receives the same information. The Gerber files, BOM, pick-and-place file, PCB specifications, assembly requirements and order quantity should all be the same.

Otherwise, the quotations may not actually be based on the same job.

A supplier working with an incomplete BOM may appear cheaper simply because some costs have not been included yet.

Look at What the Quotation Actually Includes

A PCBA quotation can contain much more than the assembly charge.

Depending on the supplier, the price may include PCB fabrication, electronic components, SMT assembly, through-hole assembly, stencil, programming, inspection and functional testing.

Some suppliers put everything into one unit price. Others list each cost separately.

There is nothing wrong with either approach, but you need to know what you are paying for before comparing suppliers.

Check the Component Prices Carefully

For turnkey PCBA, component cost can have a major effect on the final price.

If one supplier gives you a much lower BOM cost, check the manufacturer part numbers rather than comparing only the component descriptions.

Sometimes a supplier may suggest an alternative component because the original part is expensive or difficult to source. This may be acceptable, but the replacement should be reviewed and approved before production.

This is especially important for ICs, MOSFETs, connectors and other components that can affect the performance of the finished board.

Don't Ignore Testing and Engineering Costs

Testing is another area where quotations can look different.

One supplier may include AOI inspection in the assembly price, while another may list it separately. X-ray inspection, functional testing, programming and test fixtures may also create additional costs.

If your PCB requires a specific functional test, explain the requirement before asking for a final quotation.

The same applies to engineering work. For a prototype, the supplier may need to review the BOM, prepare the production files or make programming adjustments. These services should be clear in the quotation.

Compare Lead Time Along With Price

A low quotation is not very useful if the supplier cannot deliver the boards when you need them.

Ask how the supplier calculates lead time. Does it start after the order is confirmed, after payment, after the PCB is manufactured or after all components arrive?

Component availability can have a major effect on the actual delivery date.

If one supplier has most components in stock while another needs to source several long-lead-time parts, the cheaper quotation may not be the better option for an urgent project.

Consider the Supplier's Manufacturing Capability

Not every PCBA supplier is suitable for every PCB.

A simple two-layer SMT board has different requirements from a board containing BGA packages, fine-pitch components, through-hole parts or complex testing requirements.

Check whether the supplier has the equipment and experience required for your board.

It is also worth asking about production capacity if the project may move from prototypes to larger quantities. A supplier that handles 50 prototype boards well may not necessarily be the right choice for 20,000 boards per month.

Calculate the Real Cost

After collecting the quotations, calculate the total cost using the same quantity and requirements.

For example, one supplier may have a lower assembly charge but higher component prices. Another may charge more for assembly but offer better component sourcing.

Shipping, testing, tooling and other additional charges should also be considered.

The important number is the cost of getting the finished PCBA delivered to you, not simply the lowest assembly price shown on the first page of the quotation.

Price Is Only One Part of the Decision

A PCBA supplier should also be evaluated on quality control, engineering support, communication and production consistency.

If a supplier identifies a BOM problem before production or finds that a component is unavailable before it affects the schedule, that support can be worth considerably more than a small difference in assembly cost.
